Auto Sport Adria: Event Management Behind the Experience on the Road

The best event management is often the part of an event that nobody notices.

Participants see the cars, the route, the destinations and an experience they will remember. The official media team sees the shots it needs to capture. Partners see an event that represents their brand.

Behind it all are people, vehicles, information and decisions that need to remain perfectly coordinated at every moment.

At Auto Sport Adria, GOF agency’s role was to connect these operational elements and ensure the programme ran smoothly, without unnecessary delays or complications.

An event that never stops moving

An automotive event on the open road is fundamentally different from an event held at a single venue.

The production moves with the participants. Cars depart, stop and rejoin the route. Locations change, the media team needs to stay one step ahead of the programme, and every delay can affect everything that follows.

That is why the operational plan cannot consist of a schedule alone.

Vehicle movements, arrivals and departures, location readiness, team positions, participant requirements and real-time changes all need to be managed simultaneously.

Our role was to turn the plan into a fully functioning live event.

Event management and operational delivery

Working closely with the ASA team, GOF agency was responsible for event management and the daily operational coordination of the event.

This included communication between the teams involved, schedule management, vehicle coordination and resolving situations that can arise without warning during an event of this kind.

In automotive events, every decision affects several areas of the production. A change in departure time influences arrival at the next destination, the filming schedule, the media team’s position and the time available for the remainder of the programme.

The role of event management is therefore not only to react when a problem occurs. More importantly, it is to identify and resolve it early enough that participants never experience its consequences.

Event fleet coordination

Part of our engagement included operational support at each location, with a particular focus on receiving vehicles, organising secure parking and guiding participants through the entire arrival and movement process.

This included:

  • receiving and coordinating vehicle arrivals

  • organising secure and orderly fleet parking

  • guiding and assisting participants upon arrival

  • coordinating the movement of vehicles and people on-site

  • supporting the production team in maintaining the event’s order and pace

  • reacting quickly to changes and unexpected situations at each location

The objective was to ensure that every location operated smoothly, without delays or confusion, allowing participants to focus entirely on the experience.

A 550 hp Audi RS3 as the official camera car

A distinctive part of our engagement was our official camera car: a 550 hp Audi RS3.

Throughout the event, the car was made available to the official media team, allowing them to follow the fleet and capture dynamic footage on the road.

A camera car used on this type of project needs to be fast and adaptable enough to maintain the required position, move the media crew efficiently between filming points and keep pace with the high-performance cars participating in the event.

The RS3 therefore became more than a means of transport. It became a mobile production asset that allowed the media team to get closer to the action and capture perspectives that would not have been possible from a static position beside the road.

With 550 hp available, it had the performance required to follow the fleet, while its compact dimensions and practicality made it easy to position between different filming locations.

Solving problems before they become part of the experience

Every event brings unexpected situations.

In automotive production, these may include traffic changes, delays, different driving rhythms among participants, individual vehicle requirements, location adjustments or changes to the media team’s filming plan.

Professionalism in these moments is not demonstrated by the complete absence of problems, but by the way they are handled.

Our responsibility was to make decisions quickly without creating additional pressure for participants or the other teams involved. While the operational plan was being adjusted behind the scenes, the experience itself needed to remain seamless and natural.
